Privacy Policy

Version 1.0 · In effect from October 24, 2026

This policy explains what personal information ACE Indoor Golf collects when you use this website or book a bay, why we collect it, who we share it with, and the choices you have. We handle personal information in accordance with Canadian privacy law, including the Personal Information Protection and Electronic Documents Act (PIPEDA).

Who we are

Ace Indoor Golf Inc. operates unstaffed indoor golf simulator facilities in Ontario, Canada. In this policy, "we", "us" and "our" mean Ace Indoor Golf Inc.

We are responsible for the personal information under our control, including information handled on our behalf by the service providers listed below.

What we collect

We collect only what we need to let you book a bay, get through the door, and get help when something goes wrong.

  • Booking details — your name, email address, phone number, the location, bay, date and time you booked, and your booking history. This is collected by our booking partner, not directly by this website.
  • Payment information — card payments are processed by our booking partners and their payment processors. We do not receive or store your full card number.
  • Facility access — a Smart Door Key is sent to the email address on your booking and activates shortly before your session. Entry events may be recorded by the access system for security and support.
  • Video recordings — our facilities are monitored by security cameras (CCTV), which record images of people on site.
  • Messages you send us — your name, contact details and anything you include when you email us or fill in a form on this site. Form messages are stored in our enquiry inbox and forwarded to our team by email so we can reply.
  • Technical information — your device type, browser, approximate region and the pages you viewed, collected through the analytics tools listed below when they are in use.

How we use it

We use personal information to:

  • Take and confirm your booking, and send you the Smart Door Key that opens the door.
  • Contact you about a booking — a change, a problem, a refund, or a facility issue.
  • Operate and secure our facilities, which run without staff on site.
  • Keep people and property safe, and look into incidents, damage, misuse of the facilities or disputes, using camera recordings where needed.
  • Answer enquiries about events, group bookings and gift cards.
  • Understand how the website is used so we can improve it.
  • Meet our legal and accounting obligations.

Booking is handled by our partners

Bookings are not taken on this website. When you choose a location, you are sent to that location's booking page on Alba (AlbaPlay), and your booking, payment, value card, gift card and account are handled there under Alba's own terms and privacy policy.

Bookings made at our Pembroke and Trenton locations before November 2, 2026 were taken through Skedda, and gift cards for those two locations were sold through Gift Up before that date. Those records remain with those providers. The list below shows every service involved and what it is used for.

Service providers we use

These providers process personal information on our behalf or receive information when you use certain parts of the site. Some of them are located outside Canada, mainly in the United States, which means information may be stored in or accessed from another country and may be subject to the laws of that country.

Cookies and similar technologies

This website itself does not set advertising cookies. Content embedded from other companies — the location map and the simulator video on our location pages — is loaded from those companies and may set cookies or similar identifiers in your browser when it loads.

You can block or delete cookies in your browser settings. Blocking them may stop embedded maps and videos from working, but it will not stop you from booking.

When we share information

We do not sell personal information.

We share personal information only with the service providers listed above, so they can perform the service we hired them for, and where we are required or permitted to do so by law — for example, in response to a lawful request from a government authority or to establish or defend a legal claim.

How long we keep it

We keep personal information only as long as we need it for the purposes described in this policy, or as long as the law requires us to.

Booking and payment records are kept by our booking partners for as long as their own retention rules require. Messages you send through our forms are kept while your enquiry is open and for a reasonable period afterwards; once we archive a message it is permanently deleted after 30 days.

Security camera recordings are kept for a limited period and then automatically overwritten, unless we need a recording to look into an incident or a legal claim, or the law requires us to keep it. Only authorised people can view recordings, and we share them only as described in this policy — for example, with police in response to a lawful request.

Keeping it secure

We use reasonable physical, organisational and technical safeguards appropriate to the sensitivity of the information, and we choose service providers that offer a comparable level of protection.

No method of transmission or storage is completely secure. If a breach occurs that creates a real risk of significant harm, we will notify affected individuals and the Privacy Commissioner as required by law.

Your choices and your rights

You can ask us to:

  • Confirm whether we hold personal information about you, and give you access to it.
  • Correct information that is inaccurate or incomplete.
  • Explain how your information has been used and who it has been shared with.
  • Stop sending you non-essential email.

Children

Our facilities and services are intended for adults. A parent or legal guardian must make the booking and accept our terms on behalf of anyone under the age of majority. We do not knowingly collect personal information directly from children.

Changes to this policy

We may update this policy from time to time. The version number and effective date at the top of this page will change when we do, and the current version always applies.
